Overview
Replace the spreadsheet your team has outgrown
Most growing teams track employees in a shared spreadsheet — a flat list that quickly becomes stale, impossible to filter meaningfully, and scattered across three versions in three different places. When someone asks "who owns payments infrastructure?" or "who just joined the London office?" the answer takes a Slack thread, a dig through an org chart PDF, and a guess.
Employee Directory replaces all of that with a single, always-current people hub: searchable profiles, a live org chart grouped by department, a skills and expertise finder, and a milestone feed that surfaces new starters and anniversaries the moment they happen.
What's included
Dashboard — A photo-forward landing screen with four live KPIs (active headcount, new starters this month, profile completeness, and remote/hybrid mix), a department distribution bar chart, a scrollable people-activity feed, and pinned announcements. Designed to be the screenshot-worthy first impression your team actually opens.
Searchable directory — Full-text search by name, title, or department, plus four independent filters: department, office location, work mode (remote / hybrid / office), and status (active / onboarding / on leave). Results render as photo cards showing role, badges, location, and reporting line. Tables become stacked cards on mobile.
Teams view — Every department as an expandable accordion section showing headcount, remote count, onboarding slots, and a member grid with photos, titles, and work-mode badges. Collapse or expand any team with one tap.
Skills & Expertise finder — Browse 30+ catalogued skills grouped by category (Engineering, Design, Sales, Finance, People, and more). Each skill row shows a stack of expert photos. Tap any expert to jump straight to their profile. A search bar and category filter chips let you narrow by discipline in seconds.
Employee detail pages — Tabbed profile pages covering Overview (manager, direct reports, AI team intro), Contact (email, phone, Slack, LinkedIn, desk location), Skills, Activity (milestones and history), and Manager Notes (private notes visible only to managers and HR). Profile completeness scoring motivates complete records.
Milestones & Announcements feed — A dual-tab feed for people events (new hires, anniversaries, promotions, parental leave) and company announcements. Filter milestone types by chip. Pinned announcements are visually elevated with an accent border.
Admin create/edit flow — A full-page sectioned form for adding or editing any employee record: personal info, role and department, location and work mode, contact details, and skills. All fields have validation. Managers are selected from a live dropdown of existing employees.
AI workflow: Draft Team Intro
The Draft Team Intro action lives on every employee detail page in the Overview tab.
When triggered, it sends the selected employee's role, manager, department, office location, work mode, skills, and recent milestone activity to an AI model and returns a concise, friendly 3–4 sentence introduction ready to paste into a Slack channel or a welcome email — no editing required.
Users can edit the generated text directly in the output field, copy it to the clipboard with a single button, or hit Regenerate to get a fresh version. The action handles all error states explicitly: if the organisation's AI credits are exhausted, the app shows a clear in-line message explaining that users can purchase additional credits or upgrade their plan from the Glide dashboard, and the generate button is replaced with actionable guidance rather than a silent failure.
Who this is for
- HR teams and People Ops who need a trustworthy single source of truth for headcount, profiles, and org structure
- Founders and office managers at companies of 20–200 who have outgrown spreadsheet-based people lists
- Department leads who want to understand their team's composition, skills coverage, and onboarding status at a glance
- New starters who need to orient themselves quickly — find their manager, understand the org chart, and discover who to ask about any given topic
Getting started
- Replace the seed data — The app ships with 38 realistic demo employees spanning 10 departments, 8 office locations, and 3 work modes. Export your current people list to a spreadsheet and use the Admin form (or a bulk import into the employees database table) to replace the demo rows with your own team.
- Adjust departments and locations — Update the department and location filter lists in the Directory page source to match your actual offices and team names.
- Set roles and statuses — Review work modes (remote / hybrid / office) and statuses (active / onboarding / on leave) to match your HR taxonomy.
- Add manager relationships — Connect each employee's
manager_idto unlock the Teams view hierarchy, the "Reports to" card on detail pages, and the direct reports list. - Seed milestones and announcements — Add a handful of recent new-hire and anniversary milestones and your first few announcements so the Dashboard activity feed is populated from day one.
- Enable AI — The Draft Team Intro feature requires AI credits in your Glide plan. No configuration is needed beyond having an active AI-enabled plan; the binding is already wired.
