Overview
The problem
Shipment updates live in spreadsheets, group chats, and driver phone calls. When a delivery runs late or fails, the operations team often finds out after the customer calls. Nobody owns the problem from the moment it appears to the moment it's resolved, and customers have no place to check status on their own.
Delivery Manager gives your operations team one place to move every package from label to proof of delivery, and gives your customers a tracking page they can open with only a tracking number.
What's included
This template has two apps that share one database:
- Delivery Manager is the staff app. Only members of your Glide organization can open it.
- Delivery Tracking is the customer tracking page. It shows status, scans, and proof of delivery for one full tracking number at a time, and nothing else. Customers can open it without signing in only after you share it as Public (see "Before you share the tracking page").
Home
The home screen shows active shipments, at-risk shipments (shipments with an open exception plus shipments past their ETA; the open-exception count matches the Exception Desk), the on-time rate for the last 30 days compared with the 30 days before, and deliveries today. Every number comes from your data. Below that are the latest shipment updates, the mix of service levels, and an overview of the current month.
Shipments
Search by tracking number, customer, or contents, and filter by status, service level, and region. Filters work together. Shipments past their ETA show a Late badge. Tables on desktop become cards on a phone. The app assigns each new shipment a random tracking number.
When you create a shipment, enter the street address, the recipient, and their phone for the driver. If the sender is new, add them as a customer from the same form.
Shipment detail and scans
Each shipment shows where it goes and who receives it (editable), its route, driver and driver phone, customer, coordinator, and a timeline of every scan. Tap Add scan to record a pickup, an in-transit scan, out for delivery, or a delivery. A delivery records who received the package and an optional photo, which becomes the proof of delivery. Scans appear on the customer tracking page without the staff notes.
Exception Desk
A board with four columns: New, Investigating, Customer Contacted, and Resolved. Each card shows priority, how long the case has been open, the shipment, the customer, and the coordinator. Move a case to the next column, or use the case menu to move it to any column (including back a step) and change the coordinator. Resolving the last open case on a shipment puts it back in transit.
Contact Customer opens a prefilled update for the type of problem. You can ask AI to draft the message from the case notes, then send it from your own email app. The app doesn't send email itself. It saves every message on the case and on the shipment. When a package is delivered, the app records a delivery notice for the customer on the shipment.
AI exception summary
On a shipment with an open exception, Summarize Exception turns the case notes and recent scans into a short brief with one recommended next step. If your account is out of AI credits, the app tells you.
Routes & Drivers
Keep a list of your drivers with their phone and van. Add a driver, put them on a route from the route card, or remove them when they leave. A card for each local route shows its depot, the neighborhoods it covers, its schedule, driver, van, and delays. The load bar shows the weight of the open shipments on that route against its capacity, so it changes as shipments are created and delivered. Weights show in pounds and distances in miles, with a switch to kilograms and kilometers.
Customer tracking page
Customers enter their full tracking number to see a plain-language status (on its way, running late, delayed, or delivered), the scans with the hub or city and time, the estimated or actual delivery time, and the proof-of-delivery photo. The page doesn't show names, street addresses, contacts, contents, weights, or notes. Tracking numbers are random rather than sequential, partial numbers don't match, and the page limits how many lookups one visitor can make. Staff can preview the same page from any shipment with Customer View.
Sample data
The template includes a fictional courier with depots in Los Angeles, Oakland, Chicago, Boston, and Brooklyn: 24 parcels with delivery addresses over about 90 days, 12 local routes and 12 drivers, out-for-delivery and proof-of-delivery scans, 12 exceptions, 24 customers, and 12 team members. When you install it, the sample dates move forward so the sample story ends on your install day.
Before you share the tracking page
- Delete the 24 sample shipments and their scans, exceptions, and customer messages, and remove the sample drivers on Routes & Drivers. Their tracking numbers are the same in every copy of this template, so anyone who has seen them could look them up on your page.
- Replace the sample support phone number, (555) 010-0100, on the tracking page and in the customer message template with your own.
- Share Delivery Tracking as Public so customers can open it without signing in. New copies start as invite-only, like every app in your Glide organization. Keep Delivery Manager invite-only.
