FleetOS ships as five purpose-built apps that share a single database — every vehicle, driver, route, inspection, maintenance record, incident, and cost entry is visible from the right role at the right moment. No data re-entry, no spreadsheet hand-offs, no blind spots between teams.
Fleet HQ — The manager's command center
Fleet HQ gives fleet managers a live, at-a-glance view of every moving part in the operation.
The dashboard opens to four KPI tiles — road-ready vehicles, routes currently active, inspections due within 14 days, and month-to-date operating cost — each with a delta from the prior period so trends are immediately visible. Below the KPIs, a 42-vehicle availability strip shows every unit's current status at a glance. An exception panel surfaces overdue inspections and open incidents that need a manager's attention, so nothing falls through the cracks.
A 6-month cost area chart shows total operating spend by month, and a recent activity feed keeps recent route completions, new incidents, and inspection results visible without hunting through sub-screens.
AI: Explain Exceptions — A single button on the Fleet HQ dashboard sends the current backlog of overdue inspections, open incidents, and delayed routes to the AI, which returns a plain-English narrative explaining the pattern of exceptions, which vehicles or drivers appear repeatedly, and what management actions are most urgent. This turns a list of line items into an actionable brief in seconds.
The Vehicle Directory lists all 42 vehicles with type, depot, status, mileage, and assigned driver. Each vehicle has a detail page with a full profile — ownership, warranty, fuel type, service history, linked inspections, linked incidents, and a rolling cost summary.
AI: Vehicle History Summary — On every vehicle detail page, a one-tap action sends the vehicle's full maintenance, inspection, incident, and mileage history to the AI. The response is a concise decision brief: what work has been done, what is overdue, whether the vehicle's incident or failure rate is notable, and a recommendation on whether to schedule service, investigate further, or no action needed. Ideal for vehicle lifecycle and replacement decisions.
Dispatch Desk — The dispatcher's board
Dispatch Desk is the hub for routing and driver assignment. It is designed to keep dispatchers in control of a moving fleet without switching between tools.
The kanban board organizes all routes across three columns — Scheduled, En Route, and Completed — so the current operational state of every trip is visible on one screen. On mobile, routes collapse to a clean prioritized list. Each route card shows the vehicle photo, driver name, origin and destination, scheduled departure time, and any active exception flags.
Dispatchers can mark departures and arrivals directly from the card, log notes on delay or route changes, and create new routes using a full form that includes vehicle selection, driver assignment, origin/destination, load or service purpose, and scheduled times.
The route detail page shows the full trip record — driver contact, vehicle unit number and type, route history, notes, and a close-out action when the trip is complete.
Driver Companion — Built for the phone
Driver Companion is the app drivers open at the start of every shift. It is designed for one-handed, gloved, in-cab use — large tap targets, minimal scrolling, nothing extraneous.
The home screen greets the driver by name, shows today's active route with origin, destination, and scheduled departure, displays the assigned vehicle, and presents four large quick-action buttons:
- Pre-Trip Check — walks through a 10-item checklist (brakes, tires, lights, mirrors, fluids, windshield, horn, emergency equipment, cargo security, seatbelt) with pass/fail toggles. Submitting the checklist writes a timestamped inspection record to the shared database, visible immediately in Fleet HQ and Compliance & Safety.
- Report Incident — captures incident type, severity level, exact location, injury status, third-party involvement, and free-text notes in a thumb-friendly form. Submitted incidents appear instantly in the Compliance & Safety incident log.
- Log Fuel / Charge — records a fuel or EV charging event with odometer reading and cost, feeding the shared cost ledger.
- Trip History — shows the driver's recent completed routes with dates, distances, and any associated inspections or incidents.
Maintenance Desk — The coordinator's work queue
Maintenance Desk gives maintenance coordinators a single place to manage every open and upcoming job across the fleet.
The work queue lists all work orders sorted by priority — urgent first, then high, then normal — so coordinators always know what needs attention today. Each card shows the vehicle photo, work order number, job title, assigned vendor or shop, scheduled date, and estimated cost.
The work order detail page provides the full job record: job type (preventive or corrective), description, parts used, parts cost, labor cost, total cost, downtime hours, technician notes, next scheduled service date, and inline status transitions (open → in progress → completed).
The Vendors page summarizes every shop and contractor in the network — job count, total billed to date, and recent jobs — so coordinators can see which vendors are carrying the most work and compare service costs.
Cost by Vehicle presents a horizontal bar chart of the top vehicles by completed maintenance spend, making it easy to identify high-cost units that may be candidates for replacement or more aggressive preventive care.
Compliance & Safety — The safety lead's hub
Compliance & Safety gives the safety and compliance team a dedicated workspace for inspections, document renewals, incidents, and corrective actions — all in one auditable place.
The dashboard opens to four live KPIs: open incidents, inspections completed this month, compliance documents expiring within 30 days, and drivers with safety scores below 90. Each KPI links directly to the relevant sub-screen.
The compliance calendar strip shows every registration, insurance policy, DOT permit, and EV certification sorted by soonest expiry. Color-coded day counts make it immediately clear which documents need renewal action this week versus this quarter.
The inspection log shows all scheduled and completed inspections with pass/needs-attention results, inspector name, date, and vehicle. Filtering by result makes it easy to build a corrective action list.
The incident log lists all reported incidents with severity, status (open, under investigation, resolved), driver, vehicle, and date. Incidents submitted by drivers in Driver Companion appear here automatically.
AI: Draft Incident Summary — On any incident detail page, a single action sends the structured incident fields (type, severity, location, injuries, third-party involvement) and the driver's free-text notes to the AI. The response is a complete, manager-ready report draft that includes: a narrative description of the incident, immediate actions taken or recommended, follow-up items with suggested owners, and a one-sentence risk assessment. Safety leads can copy the draft directly into their reporting system or refine it further before filing.
