Overview

Make it fit your team

Call your shifts Turnos, Plantões, or Duties, your locations Stores, Sites, or Posts, and your people Team, Crew, or Volunteers. Set your roles, your week start, your clock, and your rules for overtime and rest. Start from the cafe or volunteer crew example, start blank, or import your team and a week of shifts from a spreadsheet.

What's included

  • A week schedule builder: people by day, filtered by location and role, with open shifts on top, hours per person, and totals per day. Copy last week, save a week as a template and apply it to any week, and drag a shift to move it on a computer. A day view shows one day as a timeline.
  • Publish when it's ready: staff don't see a draft. Changes after publishing are marked Changed, and the person gets a notice in the app.
  • Conflict warnings: double-booked, outside availability, on time off, over the person's max hours or your overtime limit, too little rest between shifts, and a role the person doesn't have. Each warning shows on the shift in the week grid, and none of them stop you from publishing.
  • Availability and time off: staff set when they can work, prefer to work, or can't work, add dates they can't work, and request time off for you to approve. You can mark blackout dates.
  • Swaps and open shifts: staff drop a shift, swap with a coworker who has the role, or ask for an open shift. A swap waits for the coworker, then for you. Nothing moves until you approve, and each shift keeps a history. For volunteer groups, turn off approval so the first person to take an open shift gets it.
  • Requests in one place: time off, swaps, drops, and pickups wait in Requests with Approve and Decline buttons and an optional reply.
  • My shifts on any phone: upcoming shifts with role, location, and address, open shifts they can take, their requests with status, and a button to add a shift to their phone calendar.
  • Send the schedule yourself: after you publish, a WhatsApp button for each person opens a message with their shifts filled in. Text, email, and copy buttons work for LINE and other apps.
  • Owners and managers: the first person to open the app becomes the owner. Owners add managers for some or all locations and can hand ownership to someone else. Managers see and change only their own locations.
  • Reports: hours per person and location, open shifts, time off taken, and swaps, drops, and pickups, with CSV export. Hours only, no pay.

Import with AI

On the Import screen, paste your current schedule or staff list in any layout or language and choose Tidy with AI. It rewrites the paste into the app's columns, using your role and location names, and shows a preview with any errors before anything is saved. This uses AI credits. You can also ask the Glide agent in the chat to build your team and schedule from your spreadsheet file.

Good to know

  • Shift Schedule Manager doesn't send emails, texts, or push notifications on its own. Staff see notices when they open the app, and you send messages yourself from the share buttons.
  • There's no time clock. The app schedules hours; it doesn't track when people clock in or out.
  • Each person signs in with the email on their profile and sees only their own shifts and requests, plus the published team schedule if you allow it. They don't see coworkers' contact details or time off.
  • Open the app and become the owner before you share it. If your staff aren't members of your Glide organization, then open Share for the app and choose Anyone can sign up. People who aren't on your team list see nothing.
  • Shift times can cross midnight, and breaks come out of the hours.

About your data

This template stores names, contact details, and work schedules for your staff. Glide's user data rules allow this kind of information only in private apps on a paid plan. Don't use it to store health information.

Glide turns spreadsheets into beautiful, intelligent apps.
