Overview
What's included
- Quotes: create a quote with line items, mark it sent, approved, or declined, and turn an approved quote into an invoice with the same lines. A quote that already has an invoice shows View invoice instead, so it can't be billed twice. Delete a draft quote you no longer need.
- Invoices: create, edit, and email invoices with line items (description, quantity, unit price). The subtotal, tax, and total are worked out for you, and each invoice gets the next number (INV-year-sequence). Void an invoice that shouldn't be paid, or delete a draft that was never sent.
- PDF copies: Download PDF on any invoice or quote opens a clean one-page copy with your business details. Save it as a PDF from the print window and attach it to an email or message.
- Payments: record full or partial payments by bank transfer, check, card, or cash. Mark paid records the remaining balance, so balances and the Payments list always agree. Remove a payment entered by mistake, and the invoice's balance and status update.
- Overdue tracking: any unpaid invoice past its due date shows as Overdue, on an aging board with Current, 1 to 30, 31 to 60, and 60+ day columns.
- AI payment reminders: the assistant drafts a reminder from the invoice's age, balance, and payments so far. Copy it or open it in your email app.
- Recurring billing: add, edit, pause, resume, and end schedules for retainers and service contracts (customer, amount, weekly, monthly, every 3 months, or yearly, and the next invoice date). Create invoice makes this period's invoice as a draft and moves the schedule to its next date.
- Customers: add and edit customers, see each one's invoices, quotes, schedules, open balance (sent invoices only, not drafts), and overdue count, and start a new invoice or quote from their page.
- Reports: six months of invoiced against collected, aging, invoice status, and top customers.
- Your business: enter your business name, email, phone, address, and an optional logo once. They appear at the top of every invoice and quote, on PDF copies, and at the end of invoice and quote emails. AI payment reminders sign off with your business name.
How it works
Quote to invoice
On Quotes, select New and fill in the customer, title, line items, and tax rate. The quote starts as a draft. Mark it sent, then approved or declined. An approved quote has Convert to Invoice, which creates the invoice and marks the quote converted. After that, the quote links to its invoice.
Get paid
On an invoice, Record payment saves the amount, date, method, and reference. A payment smaller than the balance makes the invoice Partial; the last payment makes it Paid. The home screen's Collected figure counts payments received this month, and the collection rate compares that to the amount due this month. Both are compared with the same days of last month (for example, November 1 to 4 against October 1 to 4). If a payment was entered by mistake, remove it from the invoice or the Payments list.
Follow up
Collections lists every overdue invoice by balance. Draft reminder writes a reminder for that invoice; Email opens it in your email app addressed to the customer.
Recurring
Open Invoices, then Recurring, or the Recurring tab on a customer's page. New schedule adds one; Edit, Pause, and End change it. Schedules that are due are marked. Create invoice saves the invoice as a draft for you to check and mark sent. Nothing is sent on its own.
Setup guide
The template comes with fictional sample data for Kindlemark Studio, a made-up marketing studio that bills trade businesses: 24 customers, 18 quotes, 30 invoices with line items, 28 payments, and 12 recurring schedules. When you install it, the sample dates move so they line up with your install day. To make it yours:
- Open Business and replace the sample details with your own.
- Add your own customers under Customers.
- Create your first quote or invoice, or start one from a customer's page.
- Add schedules for retainers and contracts with New schedule on the Recurring tab.
Anyone in your Glide organization who opens the app can use every screen. The template's own demo is look-only: changes are saved only in the copy you install.
About your data
Invoice Studio stores customer contact details, invoices, and payment records. Glide's user data rules allow this kind of information only in private apps on a paid plan.
