Overview
Keep machines running and the right spare part on the shelf. Equipment and Parts Tracker puts your equipment register, preventive maintenance, work orders and spare parts inventory in one app your team uses from their phones.
Make it fit what you maintain
Pick a starting point in Settings: plant and manufacturing, facilities and campus, tool crib and rental yard, fitness and venue, or lab. The app renames itself to match (Equipment, Machines, Tools, Assets or Instruments; Sites, Buildings or Yards) and adds starter categories and a checklist. Set your labor rate, currency, time zone and work order numbering.
What's included
- Equipment register: sites and areas, components (parent and child), make, model, serial, criticality, meter (hours, km, miles or cycles), warranty date, photos and manuals.
- QR labels: print a sheet of labels from the browser. Anyone can scan a label with their phone camera to open that item and report a problem, check it out, log a meter reading or start its PM.
- Report a problem: any team member, with a photo. Mark it down and the downtime clock starts.
- Work orders: triage, assign, start and stop a labor timer, follow a checklist (pass/fail, numbers with limits, notes, photos), use parts from stock, record the cause and fix, and mark the machine running again.
- Preventive maintenance: plans by calendar, by meter, or whichever comes first, for one machine or a whole category. Work orders are created automatically when a PM is due. A 60-day calendar shows what's coming.
- Spare parts inventory: stock by storeroom and bin, min and max, receive, use, adjust, transfer and return, with every movement logged. Stock never goes below zero.
- Reorder and part orders: a reorder list of parts at or below min with a suggested quantity, turned into one draft order per supplier. Mark orders as ordered, receive them in full or in part, print them or copy the text into an email.
- Check-out and check-in: lend tools to a person or job with a due date, condition and meter. Overdue items stand out, and anything returned damaged gets a work order.
- Dashboard: what's down now, open and overdue work, PM compliance, planned vs unplanned work, downtime, MTTR, MTBF, maintenance cost, low stock, overdue check-outs and warranties ending soon.
- Import and export: bring in equipment, parts and stock counts from a spreadsheet; export everything as CSV.
AI that drafts, you decide
- Suggest PMs from the manual: upload a manual or paste its maintenance table and get draft PM plans with intervals and checklist steps. Tick the ones you want.
- Write up and suggest a fix: turn a quick note (and photo) into a clear work order, see what fixed this machine before, and draft the cause and resolution when closing. AI never closes work or changes stock on its own.
Getting started
- Open the app and choose Make me the admin.
- In Settings, pick a preset and add your team as technicians and planners.
- Explore the sample plant, then import your own equipment and parts (or add them by hand) and print QR labels.
Sample data is for a fictional company (Brookfell Packaging Co.) with invented suppliers, makes and models. Its dates move to the day you install, so the sample looks current. Don't store restricted data such as health or payment information in this app.
