The problem SpendFlow solves

Small teams lose receipts in email threads and chat. Approvals stall because there is no clear queue. Finance cannot see where cash is going until month-end, and employees wait weeks to be reimbursed for out-of-pocket costs.

What SpendFlow does

Capture — Submit an expense in seconds with vendor, amount, date, category, project, and a receipt note. Policy rules flag over-limit and out-of-policy items automatically at submission time.

Review — Every submission lands in a prioritized approval queue. Policy exceptions surface first. Approvers can approve, request more information, or reject from the queue card without opening a separate screen.

Track — A finance dashboard shows month-to-date spend, pending approvals, reimbursed amounts, and budget vs. actual by category — all updated in real time as the team submits and approves.

Reimburse — The full lifecycle from draft through submitted, under review, approved, and reimbursed is tracked with a timestamped audit trail on every expense, including who acted and why.

Built-in AI features

SpendFlow includes two targeted AI actions that turn manual data entry and report writing into one-click tasks.

Receipt extraction — on the Expense Detail screen

When a team member pastes receipt text into the receipt note field — such as a forwarded email confirmation, a scanned receipt description, or a copied itinerary — the Extract Receipt Details button reads that text and returns a structured suggestion: vendor name, amount, expense date, and the most appropriate budget category, along with a one-sentence rationale explaining the classification. The result appears inline so the reviewer can confirm or adjust before approving.

Input: The raw receipt note text already attached to the expense (no upload or extra step required). Output: Vendor, amount, date, category, and a short classification rationale — ready to verify in seconds. Where: Expense Detail screen → AI Receipt Extraction panel → Extract Details button. Time saved: Eliminates the back-and-forth of asking submitters to re-categorize or re-enter amounts from receipts — a task that typically adds a day to the approval cycle.

Report summarization — on the Budgets & Reports screen

When a finance manager opens the Budgets & Reports screen and clicks Summarize Report, SpendFlow sends the current month's category spend, project spend, and utilization data to the AI and returns a concise plain-language analysis — typically three to four sentences covering total spend, the top categories, any over-budget areas, and patterns worth watching. The summary is written in the same direct voice finance teams use in board updates.

Input: The live budget report data already on screen — category allocations, month-to-date spend, and project budgets (no export or copy-paste required). Output: A ready-to-share prose summary of the current expense picture, including dollar amounts and specific category or project callouts. Where: Budgets & Reports screen → Summarize Report button (top right). Time saved: Replaces 15–30 minutes of manually writing a monthly spend narrative — useful before a board call, an all-hands, or a budget review.

Both features handle loading, success, out-of-credits, and error states throughout, and work within the Glide AI binding so no external API keys or configuration are needed.
