Overview
Five apps, one fleet
Fleet Manager is five apps that share one database. When a driver fails an item on the pre-trip check in Driver Companion, the check shows up in the Compliance & Safety inspection log and on the vehicle in Fleet HQ, and a work order opens in Maintenance Desk. Each role opens the app built for its work.
The sample data is a 42-vehicle fleet in the Chicago area. The apps use today's date, and the sample trips, costs, and due dates move to the date you install, so the screens show a working day.
Fleet HQ: the manager's command center
Fleet HQ shows the state of the fleet on one screen.
- Four KPI tiles: road-ready vehicles (with the number on route), trips in progress, inspections needing attention in the next 14 days, and month-to-date operating cost compared with last month.
- Vehicle availability strip: every unit with its photo and current status.
- Fleet exceptions: inspections that need attention, high and urgent open work orders, and open incidents.
- Service due: vehicles due or overdue for preventive service by date or by odometer. Each row opens the vehicle.
- Six-month cost trend and a recent activity feed of trips, inspections, and incidents.
- AI: Explain exceptions sends the current exceptions to AI and returns a short brief for the manager.
The vehicle directory lists every vehicle with type, depot, status, mileage, and assigned driver. Each vehicle page shows its profile, maintenance, inspections, incidents, and costs. AI: Vehicle history summary turns that history into a short brief for service and replacement decisions.
Dispatch Desk: the dispatcher's board
The board opens on today's trips in three columns: Scheduled, En Route, and Completed. Use the day picker to see any other day.
- Trips still en route after their scheduled arrival show a Late badge, and the header counts them.
- New route sets the vehicle, driver, origin, destination, purpose, and times. Drivers whose license has expired are left out of the driver list, and the server refuses to assign them.
- The route page shows the full trip record, and the dispatcher marks departures and arrivals there.
- The Drivers page lists every driver with availability, license class, license expiry, and safety score.
Driver Companion: built for the phone
Driver Companion is the driver's app, with large tap targets and a bottom bar for Home, Route, Check, Incident, Fuel, and History. Each driver signs in and sees their own assigned vehicle, and checks, incidents, and fuel are filed under their own name. A read-only preview lets you look at the app as any sample driver.
- Home: today's trip, the assigned vehicle, the driver's safety score, and buttons for the pre-trip check, incident report, fuel log, and trip history.
- Pre-trip check: a 10-item checklist with pass and fail. A failed item can carry a photo of the problem. Submitting with any failure opens a corrective work order in Maintenance Desk. If a save fails, the checklist stays as filled in and the error shows.
- Report incident: type, severity, location, injuries, third-party involvement, and notes. The report appears in the Compliance & Safety incident log.
- Log fuel or charge: odometer, cost, and gallons, or kWh for electric vehicles.
- History: the driver's recent trips.
Maintenance Desk: the coordinator's work queue
- Work queue: every work order sorted by priority. The priority tabs and status filter narrow the list.
- Due tab: vehicles due or overdue for preventive service, each with a Create work order button.
- From inspections: inspections that found problems and have no work order yet. One click opens a corrective work order for that vehicle.
- Work order page: job details, cost breakdown, downtime, next service, and status changes. Work orders raised from an inspection show the inspection notes and the driver's photos.
- Vendors: jobs, total billed, and the last three jobs for each shop.
- Cost by vehicle: the vehicles with the highest completed maintenance spend.
Compliance & Safety: the safety lead's hub
- Dashboard: five KPIs (open incidents, inspections this month, documents expiring in 30 days, drivers with a safety score below 90, and driver licenses due in 30 days). Each tile opens the matching list.
- Compliance calendar: registrations, insurance policies, DOT permits, and EV certifications by soonest expiry. Each card opens the document.
- Compliance documents: status comes from the expiry date (current, expiring soon, or expired). Add a document, or renew one with its new number and expiry date.
- Inspection log: filter by result, and schedule an inspection. A scheduled inspection shows as the vehicle's next inspection due in Fleet HQ.
- Incident log and incident page: severity, status, driver, vehicle, photos, and corrective action. AI: Draft incident summary writes a report draft from the incident fields.
- Driver qualifications: license class and expiry for every driver, with expired and 30-day flags.
Sample data
- 42 vehicles: delivery vans, box trucks, pickups, service vehicles, and electric vans across five depots
- 24 drivers with photos, license class (Class B CDL for box trucks, standard license for the rest), and safety scores
- About 25 trips each weekday, from two months back to the week ahead
- About 520 cost entries over six months: fuel, EV charging, service, tolls, and insurance
- 42 work orders, 36 inspections, 24 incidents, and 24 compliance documents
About your data
This template stores incident reports that can record injuries to named drivers and other people. Glide's user data rules allow this kind of information only in private apps on a paid plan.
